Tech Tip: Limiting Desktop Notifications in Microsoft Outlook

One of the keys to working more efficiently is to create a personal action plan. Set an agenda, and stick to it. And don’t let email rule your day. Microsoft Outlook is a powerful application and an indispensable tool for communicating with clients and colleagues throughout the workday, but some of its default settings may be interfering with your ability to perform at your best.

The blue “toaster” alerts that pop up in the lower corner of your screen and sometimes chime to demand your immediate attention are just one example. Notifications are helpful, but they can also break your focus, interrupting your concentration, and disturbing your workflow. Responding to the needs of others before addressing your own priorities allows external influences to determine your agenda. This deviation from your personal action plan is usually counterproductive. Of course you want to be available for your clients and to address pressing issues as they arise, but giving your attention to matters that don’t warrant an immediate response can add time and money to your balance sheet, making you less productive and your services less cost-effective.

Fortunately, the same system which tries to make your life easier by notifying you of every incoming message you receive can be customized to limit your alerts. Slaw, Canada’s online legal magazine, provides detailed instructions for turning off your email alerts or limiting the volume of incoming messages. You receive notifications for only the most important or immediately actionable items, reducing the intrusive and distracting demands on your time and giving you peace of mind.

Introducing the Android App for HeinOnline

HeinOnline is consistently recognized as one of the best, most indispensable legal websites, especially for accessing legal scholarship. As the world's largest image-based academic and legal research platform, HeinOnline -- and the Law Journal Library in particular -- provides a wealth of fully searchable content including an extensive archive of legal publications in full-text PDF. 

Not only is the website an incredible respository of information, but so is the HeinOnline app, which, until recently, was designed strictly for use on iOS devices. Just this month, Hein released a new app for Android, a powerful legal research tool with loads of functionality and rich content. Within the app, users can access content by citation, browse by volume or collection, navigate using the electronic table of contents or by using the same advanced search tool that makes Hein's website functionality so robust. Users of the HeinOnline app can download articles in PDF format, save them to their devices, or share them with colleagues. And, to make the user experience even better, they can do so remotely, beyond the four walls of our physical space!

To gain remote access to HeinOnline via the HeinOnline app, first download the program to your device. Click here for Android or here for the iPhone. Then, visit the Harris County Law Library to authenticate your device through our HeinOnline subscription. Once IP authenticated, your device will be able to access the database from any location for 30 days. At the end of that period, visit us again to re-authenticate and never be without access to HeinOnline!

This link to the HeinOnline App User's Guide is a bit dated, but its explanation of how the authentication process works is still valid. Keeping Current with ILTA, the International Legal Technology Association

In 2009, the American Bar Association established the Commission on Ethics 20/20 which was tasked with performing a thorough review of the Model Rules of Professional Conduct. Three years later, the ABA House of Delegates voted to amend the rules, introducing a change to Rule 1.1, Comment 8: To maintain the requisite knowledge and skills of a competent legal practitioner, a lawyer must now keep abreast of changes in technology and maintain an awareness of its associated risks and benefits. Attorneys are called upon to "engage in continuing study and education [with respect to technology] and comply with all continuing legal education requirements to which the lawyer is subject." (Since 2012, this model law has been adopted by 20 states, but Texas is not yet one of them.)

In addition, the ABA and several states have issued ethics opinions related to the use of technology in the practice of law. Social networking, electronic communications, cloud computing, and virtual lawyering have all been addressed, often focusing on the duty of care that attorneys must exercise to maintain confidentiality in the management and exchange of information.  These ethics opinions are nonbinding and only advisory in nature, but increasingly, the decisions are beginning to carry more weight.

To encourage compliance with Model Rule 1.1, Comment 8, the Harris County Law Library recommends membership in ILTA, or the International Legal Technology Association. This network of peers will help you build connections with other legal professionals and keep current with new developments in legal technology. Keeping Current with Podcasts on the Legal Talk Network

As one of the most popular and fastest growing communication platforms on the web, podcasts are an excellent resource for staying up to date with the latest trends in legal technology, especially for busy legal professionals on the go. And few media outlets produce a better selection of programming than the Legal Talk Network.

LTN, an online content provider for legal professionals, is widely recognized as the go-to source for a number of popular and informative broadcasts. Lawyer 2 Lawyer, co-hosted by Bob Ambrogi, a leading voice in all things legal tech, was recognized by the ABA Journal as one of the 5 Most Essential Podcasts for Law Firm Professionals.

The recently-launched Legal Rebels, inspired by the ABA Journal’s annual feature of the same name, already has quite a following. Another popular offering is The Digital Edge, which “provides listeners with tips and tools for career success, as well as cutting-edge technology news.” The hosts, Sharon D. Nelson and Jim Calloway, recently sat down with ABA President-Elect Linda Klein to discuss how technology has and will shape their professional careers. They also recommend good resources for keeping up with changes in legal tech, including the Solo and Small Firm Legal Technology Guide, an annual ABA publication produced by the Law Practice Division and available for purchase on the ABA website. Members receive a discount.

What’s behind the name? “Ex Libris Juris” is Latin for “from the books of law” and much of the information here will relate to the legal information collected and curated by the Law Library. Additionally, “Ex Libris” has long appeared on bookplates – labels appearing inside the front cover of books – and has acquired the connoted meaning “from the library of” to show ownership of the book. Using this connotation, the phrase becomes “from the library of law” and better describes the posts about digital resources, event announcements, and research tips that will regularly appear here.
